Your information

Privacy Policy

This policy explains what information AikoAI processes, why it is needed, who helps us provide the service and the choices available to you.

1. Who we are

AikoAI is operated by Metro Labs in the United Kingdom. In this policy, “AikoAI”, “Metro Labs”, “we”, “us” and “our” refer to that operation.

For privacy questions or requests, email help.metrolabs@gmail.com.

2. Information we process

Account information

Sign in with Apple is optional. If you continue as a guest, AikoAI creates an authenticated anonymous identifier in Supabase so we can securely associate your profile, subscription state, usage and conversation data with your current AikoAI account. If you later use Sign in with Apple, we receive an Apple-provided account identifier and, depending on your Apple choices, your name and email address or Apple private relay address. We also process profile details you provide, such as your preferred name and learning preferences.

Voice conversations and conversation text

AikoAI sends microphone audio to OpenAI in realtime so the service can understand your speech and generate spoken replies. Conversation text, conversation summaries and related metadata may be stored in our backend. AikoAI does not claim to retain raw microphone recordings as audio files.

Persistent memories

For Apple-linked accounts, AikoAI may extract and store selected facts from conversations, such as preferences, goals or relevant context, so they can be retrieved in future sessions. Persistent-memory extraction is disabled for guest accounts. Guest conversation text and related service data may still be stored as described above. Because memories are created using AI, they may sometimes be incomplete or inaccurate.

Subscription and usage information

We process subscription entitlement status, product identifiers, billing-period dates, the voice allowance assigned to a period, seconds used and seconds remaining. This information is associated with the current authenticated AikoAI identifier, whether that identifier belongs to a guest or an Apple-linked account. Apple processes App Store payments. We do not receive your full payment-card details.

Technical and security information

We may process limited device, authentication, network, request, error and security information needed to operate the service, prevent abuse and investigate failures. We aim to avoid placing full conversation content or unnecessary personal information in production logs.

Support communications

If you contact support, we process your email address, message and any information you choose to include so we can respond and resolve the issue.

Please choose what you share. Voice conversations are processed and conversation text may be stored whether you use AikoAI as a guest or with Sign in with Apple. Persistent-memory extraction is disabled for guest accounts. Avoid sharing information you do not want processed, including unnecessary sensitive personal data or another person's confidential information.

3. Why we use information

Under UK data-protection law, we rely on one or more lawful bases depending on the activity:

  • Performance of a contract: to create and manage your guest or Apple-linked AikoAI account, provide live voice conversations, personalise the service where applicable, operate memory features for eligible Apple-linked accounts, enforce subscription access and show remaining usage.
  • Legitimate interests: to keep AikoAI secure and reliable, prevent fraud and abuse, diagnose faults and improve service performance, balanced against your rights.
  • Legal obligations: to retain or disclose information where applicable law requires us to do so.
  • Consent: where consent is required. You separately control microphone access through iOS settings and can withdraw that device permission at any time.

We do not use personal information for third-party advertising. The AikoAI legal website does not include analytics scripts or set its own cookies.

4. Service providers and recipients

We use carefully selected providers to operate AikoAI. We require providers that process personal information on our behalf to protect it to the same or an equivalent standard as described in this policy and as required by applicable data-protection law. They process information only for the relevant services and under their contractual and legal obligations:

  • OpenAI: realtime AI speech and conversation processing. OpenAI states that API data is not used to train its models by default unless the customer opts in. Its standard abuse-monitoring logs may be retained for up to 30 days, unless longer retention is required for security or legal reasons. See OpenAI's privacy policy.
  • Supabase: authentication, profiles, conversation text, summaries, memories, usage periods and related backend storage. See Supabase's privacy policy.
  • RevenueCat: subscription entitlement and purchase-status management. See RevenueCat's privacy policy.
  • Apple: Sign in with Apple, App Store purchases, subscription management and device services. See Apple's privacy policy.
  • Google: support email hosting when you contact help.metrolabs@gmail.com.

We may also disclose information where reasonably necessary to comply with law, protect users or the service, investigate abuse, establish legal claims, or as part of a genuine business transfer subject to appropriate safeguards.

5. How long information is kept

We keep information only for as long as reasonably needed for the purposes described here:

  • Profile, conversation text, summaries and related account data are generally retained while your guest or Apple-linked AikoAI account remains active so the service can work. Persistent memories are stored only for accounts where that feature is enabled; persistent-memory extraction is disabled for guest accounts.
  • When your account is deleted, associated information is scheduled for deletion unless we must retain limited records for legal, security, fraud-prevention, dispute or financial obligations.
  • Subscription, usage and transaction-related records may be retained for the period reasonably required for billing reconciliation, fraud prevention and legal compliance.
  • Support correspondence is kept only as long as needed to handle the request and maintain a reasonable record of the resolution.
  • Service-provider retention periods may differ. In particular, OpenAI describes a default retention period of up to 30 days for API abuse-monitoring logs.

6. International transfers

Some providers may process information outside the United Kingdom. Where required, transfers are protected using recognised safeguards such as UK adequacy regulations, contractual protections or the UK International Data Transfer Addendum.

7. Your privacy rights

Depending on the circumstances, UK data-protection law may give you rights to:

  • access personal information we hold about you;
  • correct inaccurate or incomplete information;
  • request deletion of your information;
  • restrict or object to certain processing;
  • receive eligible information in a portable format;
  • withdraw consent where processing relies on consent; and
  • complain to the UK Information Commissioner's Office.

Email help.metrolabs@gmail.com to make a request. We may need to verify your identity. You can also raise a concern with the ICO.

8. Security

We use technical and organisational safeguards designed to protect information, including authenticated access, server-authoritative usage controls, database access rules and encryption in transit. No system is completely secure, so we cannot guarantee absolute security.

9. Children

AikoAI is not directed at children under 13. If you are under 18, use AikoAI only with permission from a parent or legal guardian. If you believe a child has provided personal information contrary to this section, please contact us.

10. Changes to this policy

We may update this policy as AikoAI, its providers or legal requirements change. We will publish the revised version here and update the effective date. If a change materially affects your rights, we will provide additional notice where appropriate.
